Campaign Nepal for Research & Development (Campaign Nepal) is a non-governmental organisation registered in 2008 in Rautahat District, Nepal. The organisation has been implementing development and humanitarian programmes across Madhesh Province in partnership with national and international organisations.
Campaign Nepal is a non-governmental organisation registered in Nepal and implementing the Core Group Partners Project (CGPP) in funding support of the US DoS and in partnership with ADRA Nepal across the districts of Rautahat, Sarlahi and Mahottari.
Campaign Nepal hereby invites quotations from eligible, experienced, and legally registered hotels, resorts, and hospitality service providers for the provision of hotel accommodation, conference facilities, and catering services as detailed in the Terms of Reference (ToR).

Eligibility Requirements
Interested bidders shall submit the following documents together with their quotation:
- Completed Quotation Form (Campaign Nepal’s prescribed format or the bidder’s official letterhead)
- Copy of Firm/Company Registration Certificate
- Copy of PAN/VAT Registration Certificate
- Valid Tax Clearance Certificate
- Any other documents specified in the Terms of Reference (ToR)
Obtaining the RFQ Documents
The RFQ documents, including the Terms of Reference (ToR), may be obtained during office hours from the Campaign Nepal office or by requesting them via the email below.
Submission of Quotations
- Quotations may be submitted either in a sealed envelope to the address below or electronically to the designated email address.
- The sealed envelope shall be clearly marked with the RFQ Number, title of the procurement, and the name and address of the bidder.
- Prices shall be quoted in Nepalese Rupees (NPR) and shall be inclusive of all applicable taxes, VAT, service charges and any other associated costs.
- Quotations shall be duly signed by an authorised representative of the bidder.
- The deadline for submission of quotations is 3:00 PM (Nepal Standard Time) on 19 May 2026. Quotations received after the specified deadline or those that do not substantially comply with the requirements of this notice and the Terms of Reference (ToR) shall not be considered.
Opening of Quotations
Quotations will be opened at 4:00 PM (Nepal Standard Time) on 19 May 2026 at the Campaign Nepal office in the presence of bidders or their authorised representatives who wish to attend. The absence of a bidder or representative shall not prevent or invalidate the quotation opening process. If the scheduled opening date falls on a public holiday, the quotations will be opened on the next official working day.
Ethical Conduct and Conflict of Interest
Campaign Nepal is committed to conducting all procurement processes with the highest standards of integrity, fairness and transparency. The organisation maintains a zero-tolerance policy towards fraud, corruption, professional misconduct and safeguarding violations.
Campaign Nepal operates an independent Feedback and Accountability Mechanism (FAM) through which procurement-related concerns or safeguarding issues may be reported confidentially.
Bidders are required to disclose any actual, potential or perceived conflict of interest involving Campaign Nepal’s Board Members, management or staff. Failure to disclose such conflicts may result in disqualification from the procurement process.

Reservation of Rights
Campaign Nepal reserves the right to accept or reject any or all quotations, wholly or partially, to cancel or amend this Request for Quotation (RFQ), or to annul the procurement process at any stage without assigning any reason or incurring any liability to bidders. The procurement process shall be governed by Campaign Nepal’s Procurement Policy and the applicable laws and regulations of the Government of Nepal.
